Replies and Booking Calls
Where prospect replies show up, how Revnu drafts a response with your booking link, why every reply waits for your approval, what happens to follow-ups, and how to reply from Gmail yourself.
When a prospect replies, it lands in your mailbox and in Inbox in the dashboard. Revnu drafts a response, with your booking link when they want to talk, and puts it in Review. Their remaining follow-ups stop on their own.
Note
Every reply to a prospect waits for your approval, even if your other settings are Just Do It. A reply to a real person is where a wrong sentence costs the most.
How do I send Revnu's drafted reply?
Find the reply card
Open Review. Revnu marks a reply card so it stands out.
Read the draft
To change it, tell Revnu what to fix and it redrafts.
Approve it
Approve the card to send it, or say "send it" to Revnu in chat. The reply goes from the same mailbox as the original email, in the same thread.
You can also answer in chat. Revnu's message about the reply includes its suggested response, so you can reply right there in Slack, iMessage or the dashboard chat: "send", an edited version, or "skip". If you only see a one-line notice, ask "show me the reply and your draft".
Tip
To make that the rule every time, say:
From now on, when a prospect replies, always show me their reply and your full draft in the message.
Revnu saves standing preferences to Memory. Check it's there in Settings > Memory, and add it yourself if it isn't. See Memory.
Where do I see replies?
Inbox in the dashboard. The Email tab shows replies across every connected mailbox and every sending inbox Revnu bought for you. To look at one mailbox, pick it from the account menu at the top (it reads All Accounts until you do). LinkedIn replies are on the LinkedIn tab.
Your own mailbox. Replies to emails sent from your Gmail or Outlook arrive there as normal.
Chat. Revnu tells you when a real reply comes in. Ask "any replies since Friday?" any time.
Inbox goes back as far as your mailbox does. It reads the mailbox live, 25 conversations a page, newest first. Press Older at the bottom to go further back.
What does Revnu do when someone replies?
It depends on the reply:
They're interested or asking a question. Revnu drafts a response and puts it in Review for you.
They want a call. Revnu puts your booking link in the draft. If it doesn't have your link yet, it asks you for it first.
A flat no or an auto-reply. Revnu tells you briefly and drafts nothing.
"Remove me" or "stop emailing me". Revnu tells you and adds them to your block list, so they're never emailed again.
In every case, the rest of that person's sequence stops.
Does a reply stop that person's sequence?
Yes, on every channel Revnu sends from:
| Where they replied | What stops |
|---|---|
| To an email from your own Gmail or Outlook | That person's remaining follow-ups. Revnu checks the live email thread before every follow-up, so a reply, or a bounce, ends it. |
| To an email or a LinkedIn message, in a sequence that has both | Every remaining step for that person, email and LinkedIn. |
| To an email from a sending inbox Revnu bought | That person's remaining emails. An auto-reply stops them too, and so does a reply from someone else at the same company. |
A LinkedIn invite or message sent on its own, outside a sequence, has no follow-ups to stop.
To stop everything to a person before they reply, open their status menu on Leads and pick Contacted, Meeting Booked, Customer or Not a Fit. See two kinds of status.
How do meetings get booked?
Through your booking link. Revnu doesn't connect to your calendar. The prospect picks a time on your Calendly, Cal.com or other scheduling page, and the meeting lands on your calendar the way any booking does.
Give Revnu your link once in chat ("my booking link is ..."), or put it in the Calendar Link box on your sequence. When a meeting is booked, mark the lead Meeting Booked from its status menu on Leads, so Revnu stops contacting them.
Meeting people in person on a trip?
Tell Revnu your dates and the city, for example:
I'm in Berlin 12 to 14 November. Offer coffee those days to the Berlin leads.
It writes the dates and city into the outreach. Revnu doesn't check your calendar, so when someone says yes, you confirm the time with them.
Can I reply from Gmail myself?
Yes. Reply from your own mailbox whenever you like. It goes out as a normal email, and Revnu sees the thread. You can also type a reply straight into Inbox and press Send Reply.
If you're taking the conversation over, mark the lead Contacted from its status menu on Leads. Revnu then stops every email and LinkedIn step to that lead until you hand it back.
Can I get a replies summary every day?
Yes. Ask Revnu, for example "every morning, send me who replied yesterday and what they said". It sets that up as recurring work. See recurring work with workflows.
If it doesn't work
| What you see | What to do |
|---|---|
| Someone replied but Inbox doesn't show it | Check the mailbox in the account menu. If its row in Connections says Needs Reconnect, reconnect it so Revnu can read replies again |
| Revnu says a reply came in but there's no draft | It may have been a no or an auto-reply. Ask Revnu "show me the reply and your draft" |
| The draft had the wrong booking link | Tell Revnu the right one. It uses it from then on |
