Where Is My Email? Drafted, Queued, Sent

What each lead status tab on the Leads page means, from Prospects to Bounced, how those tabs differ from the status menu (Contacted, Meeting Booked, Customer, Not a Fit), where to see how many emails went out, who presses send, and why an approved email can still be held back.

Every lead on Leads sits in a status tab that tells you where its email is. Drafted means written and waiting. Sending means approved and on its way. Sent means it left your mailbox.

Revnu sends the email itself, from your connected mailbox. You never press send.

What does each lead status mean?

The tabs along the top of Leads filter by status, with a count on each. All shows every lead except declined ones.

Status What it means What happens next
Prospects A company that fits, still being researched. There's no contact ready to email yet. Revnu finds the right person and their email.
Qualified A good fit with a contact, but no email written yet. Revnu drafts an email when a sequence covers this lead.
Drafted The email is written and waiting: for your approval, for its sequence to be approved, or for a connected mailbox. If the sequence pill says Needs an Inbox, no mailbox is connected. See why aren't my emails sending? Approve it, approve its sequence, or connect a mailbox.
Sending Approved and in the send queue, or some people at this company have been emailed and others haven't yet. It goes out at the mailbox's next open slot.
Sent The email left your mailbox. Follow-ups go out on schedule unless they reply.
Replied The person wrote back, whatever they said. Revnu drafts a response for you to approve, unless it was a flat no or an auto-reply. See replies.
Declined Ruled out before contact, or filed after: not a fit, on your block list, no email found, or a "no" you asked Revnu to file. The reason shows on the lead. Revnu's sequences skip them. To be sure nobody at the company is ever contacted, use the block list.
Bounced The email couldn't be delivered. Nothing more goes to that address.

Note

Sending is not sent. An email in Sending is approved but hasn't left yet. It's waiting for its slot, for the hour or day limit to reset, or for a sending inbox's window to open.

Two kinds of status: the tabs and the status menu

The tabs say where the email is. Revnu moves leads between them as it researches, drafts and sends.

The status menu says how you're handling the person. Click a lead's status on Leads to open it:

Choice What it does
Contacted You've got this lead. Revnu stops every email and LinkedIn step to them.
Meeting Booked The same, and records that a meeting is booked.
Customer The same, and records that they bought.
Not a Fit The same, and records that they're not a fit.
Do Not Contact Puts the company on your block list.

Picking Contacted, Meeting Booked, Customer or Not a Fit doesn't move the lead to another tab. It stays where it was, such as Sent or Replied, and its status shows your choice with who set it, for example "Not a Fit, by you". The lead isn't declined, so you can hand it back by unticking your choice in the same menu. Revnu can set these too, for example when it sees a meeting was booked.

How do I move the people who said no to Declined?

Ask Revnu:

Move everyone who replied no or not interested to Declined.

It files those leads under Declined, which takes them out of your active list. The All tab hides declined leads, and Revnu's sequences skip them.

A "no" isn't moved for you. When a prospect says no, the lead goes to Replied, like any reply, and its follow-ups stop. It stays there until you file it.

You want Do this What happens
A "no" out of your active list Ask Revnu to move it to Declined Filed under Declined, with the reason. Sequences skip it.
To keep the lead where it is, with a note Pick Not a Fit in its status menu It stays in Replied, marked "Not a Fit". Every email and LinkedIn step to them stops.
Nobody at that company contacted again, ever Add the company to your block list, or ask Revnu to Every future send to them is refused.

Declined files a lead. It isn't a promise for every future list Revnu builds, so for "never contact again", use the block list. If someone replied "remove me" or "stop emailing me", Revnu adds them to the block list itself.

How many emails went out today?

  • Ask Revnu. "How many emails went out today, and to whom?" gets you an exact answer for any period up to 31 days.

  • Read the daily update. On days when something changed, Revnu sends a short update with what went out and who replied. See daily updates and reports.

  • Look at Leads. The Sent and Replied tabs count every lead in that state so far, not just today's.

  • Look at Home. The This Week strip shows replies this week and how many emails went out. See what each number means.

You don't need to keep asking. Once a sequence is approved and a mailbox is connected, Revnu sends and tells you what moved.

How do I know an email really went?

Three places show the same send:

  • The Sent tab on Leads. A lead moves to Sent only when the email left your mailbox. Revnu can't move a lead to Sent without a real send on record.

  • Your mailbox's Sent folder. The exact email the person received, from your address.

  • Sent in Inbox. In the dashboard's Inbox, the Sent box also covers sending inboxes Revnu bought for you.

If Revnu said something went and none of these show it, it hasn't gone. Ask Revnu "which emails are still waiting, and why?".

Who sends the emails, me or Revnu?

Revnu. Once you approve an email or its sequence, Revnu sends it from your connected mailbox, as you. Sent emails show in that mailbox's Sent folder.

To see what's waiting, use Review for emails that need your approval, and the Drafted and Sending tabs on Leads for the rest.

Tip

Some waiting emails also appear in your mailbox's Drafts folder, but many don't, so don't rely on Drafts. Don't send them from there either: approve in Review, and Revnu sends its own copy and removes the draft. See how Revnu's emails look.

Why is an approved email still not sent?

Why it's waiting What you see
No connected mailbox Approval can't send without a sender. The lead stays in Drafted, and its sequence pill shows Needs an Inbox
The mailbox is at its limit Your own inbox sends up to 50 a day and 20 an hour, and the rest wait. See sending limits
A sending inbox is outside its window, or still warming up The email waits for the window or for warm-up to finish
The address failed the email check, or the check couldn't run Revnu checks every address before it sends. If the check says the email would bounce, Revnu holds it back to protect your mailbox, and tries the company's general address or declines the lead. If the checking service is down, the email waits
Revnu paused the mailbox Because of bounces, or because the email provider blocked it
You said pause Pausing cancels emails waiting to send. See pause or stop everything

Why aren't my emails sending? goes through each one with the fix.
