Troubleshooting

Why Aren't My Emails Sending?

A checklist, in order, for when Revnu's emails aren't going out. Each check says where to look and how to fix it, from an approval that's still waiting to a payment problem, plus what happens to emails that were waiting.

Note

Connected on the Connections page doesn't mean the mailbox can send. A mailbox can show as connected and still be paused, blocked by your email provider, at its daily limit, or waiting on an approval.

Match what you see to the right check:

What you see Go to
Nothing sent, and nothing in Review 1. An approval, then 2. A mailbox
The row says Needs Reconnect 3. Reconnect
It sent, then stopped 8. Revnu paused the mailbox
"Undeliverable" notices about the sender 9. Your provider blocked it
Revnu says it couldn't verify addresses 6. Email verification

Otherwise, work down this list in order. Most problems are one of the first few:

  1. Check Review

Open Review and approve anything waiting. Your first sequence always waits for you. Check 1.

  2. Check a mailbox is connected

Open Connections > Reach People. Gmail or Outlook must say Connected, not Needs Reconnect. Checks 2 and 3.

  3. Check the leads have an email

Open Leads. Leads still in Prospects or Qualified have no email ready. Check 5.

Tip

You can also ask Revnu "why hasn't anything sent?" It checks the same things and tells you what's holding it up.

1. Is an approval still waiting?

Where to look: Review in the dashboard. Then, on Leads, pick the campaign and check the steps pill next to it (for example 3 Steps). Needs Approval means it's waiting for you.

Your first sequence always waits for your approval. A sequence can also wait again after Revnu changes its copy, even by one link. One-off emails wait if One-Off Emails is set to Ask Me First in Settings > Agent.

Fix: Approve the sequence or the email cards. See sequences.

2. Is a mailbox connected?

Where to look: The sequence shows Needs an Inbox and "Nothing can send until you connect an inbox." Or Connections > Reach People has no Gmail or Outlook connected.

Approving a sequence doesn't send anything on its own. Without a mailbox, nothing can leave.

Fix: Connect Gmail or Outlook. See connect Gmail or Outlook. Buying sending inboxes is a separate, optional step.

3. Does the mailbox need reconnecting?

Where to look: The Gmail or Outlook row in Connections says Needs Reconnect. In Inbox, the account menu says "Needs reconnecting" next to it.

Fix: Press Reconnect and sign in again. Only the teammate who connected that mailbox can reconnect it. Until you do, emails due from it fail instead of sending, so ask Revnu to send them again afterwards. Revnu messages you within a few minutes of a mailbox dropping, with how many emails are waiting and the reconnect link. If nobody messaged you but sending stopped, check Connections for Needs Reconnect anyway.

4. Are your sending inboxes still warming up?

Where to look: In Inbox, open the account menu. A sending inbox Revnu bought says Warming up until it's ready.

Fix: Wait, or connect your own Gmail or Outlook to send meanwhile. Warm-up takes days to weeks. See sending inboxes.

5. Do the leads have a working email?

Where to look: Leads. Leads still in Prospects or Qualified have no email ready. A lead in Declined may be one Revnu couldn't find an email for.

Revnu checks every address before it sends and holds back any that would bounce, to protect your mailbox. Revnu's own sending inboxes only email addresses that pass a full check.

Fix: Ask Revnu "which leads are missing an email?" It can look again, use the company's general address, or find other people at the same company. Don't ask it to skip the check.

6. Does Revnu say "email verification is unavailable"?

Where to look: Revnu tells you in chat that it couldn't verify addresses, and the leads stay in Qualified or Drafted instead of moving to Sending.

Revnu's address check was down or failed. Revnu doesn't send to an address it couldn't check, because a bounce costs your mailbox more than a late email. Those emails are held, not sent. It's a problem on Revnu's side, not yours.

Fix: Nothing to change in your account. Ask Revnu to check the addresses again later, and "which emails are still held?" to see what's waiting. A held email stays out of Sent until it actually goes. You can't skip the check.

On a trial, the trial's end time doesn't move while checks are down. If an outage took up your trial, ask about it at support@revnu.com.

7. Did you pause?

Where to look: What Needs Your Approval in Settings > Agent. If every setting says Ask Me First and you didn't set them that way, someone said "pause", "stop sending" or "ask first".

Pausing switches every approval setting to Ask Me First and cancels emails that were waiting to send. Replies you already approved still go.

Fix: Set the settings back the way you want them, and ask Revnu to send the cancelled emails again.

8. Did Revnu pause a mailbox to protect it?

Where to look: Ask Revnu "is any of my mailboxes paused, and why?"

Revnu pauses a mailbox you connect on its own when something looks risky:

What happened How long it pauses
5% or more of its recent emails bounced, once it has sent at least 20 3 days
The email provider refused to send from it 3 times in 24 hours 3 days
The provider limited sending, or the connection needs signing in again 1 day
3 sending errors in a row 6 hours

Emails that were waiting move to after the pause.

Fix: Usually nothing: sending resumes on its own. If bounces caused it, ask Revnu to check the list it's sending to. If the provider blocked the mailbox, see the next check.

9. Has your email provider blocked the mailbox?

Where to look: Revnu messages you that your email provider is blocking outgoing mail from an address. Your mailbox may also hold "Undeliverable" notices that say the sender was blocked, such as a 5.1.8 or 5.7 error code.

Microsoft or Google sometimes stops accepting mail from an address it thinks sends spam, often a brand-new mailbox sending cold email. After 3 of those bounces in 24 hours, Revnu pauses that mailbox for 3 days and marks those contacts as bounced. They never got the email.

Fix: Reconnecting won't help. Your email admin has to release the address: on Microsoft 365, under Restricted entities in the Microsoft Defender portal; on Google Workspace, from the alert center in the Google Admin console. If the block is still there when the pause ends, Revnu pauses again. Meanwhile, send from another mailbox or let Revnu buy sending inboxes. See will Revnu's emails land in spam?.

10. Is there a payment problem?

Where to look: A banner at the top of the dashboard, and Settings > Account.

If a renewal fails, you get three days while the payment is retried. After that, Revnu pauses everything, including email. The banner shows how many emails are ready to send.

Fix: Press Try My Card Again or Pay Another Way on the banner. The waiting emails go out once you've paid. See payment problems.

11. Is the trial waiting for a card?

Where to look: A full-screen message: Add Your Card to Keep Going.

If your trial started without a card, Revnu pauses at this point until you add one.

Fix: Add your card. Revnu picks up where it stopped. Nothing is charged before the trial ends. See the free trial.

12. Is it outside the sending window, or over the limit?

Where to look: On Leads, pick the campaign, press the steps pill next to it and open Settings. It shows the Sending Window and Timezone. Ask Revnu "how many went out today?" for the count.

Revnu's sending inboxes send only on weekdays, inside the window, in your prospects' time zone. On Pro, your own mailbox ignores the window, but it sends at most 50 a day and 20 an hour. Follow-ups wait their set number of weekdays.

Fix: Usually none: the emails go at the next open slot. To widen the window or change the time zone, edit it there or tell Revnu. See sending limits.

What happens to emails that were waiting?

What stopped sending Waiting emails
You said pause or ask first Cancelled. Ask Revnu to send them again.
Mailbox needs reconnecting Fail as they come due. Ask Revnu to resend after you reconnect.
Revnu paused a mailbox to protect it Moved to after the pause.
The email provider blocked the mailbox Moved to after the pause. Contacts whose email bounced aren't retried.
Email verification was unavailable Held until a check passes.
Payment problem Held, then sent once you've paid.
Trial waiting for a card Held until you add a card.
Outside the window or over the limit Sent at the next open slot.

Still stuck?

Ask Revnu "what's stopping my emails?" first. If that doesn't help, see get help from a person.
