# How Do I Handle Replies and Book Calls?

> A step-by-step recipe for turning outreach replies into booked calls with Revnu. Give it your booking link once, and when someone replies it stops their follow-ups, tells you and drafts an answer that waits for your yes. Where replies show up, how to send the draft, and what to do after a call is booked.

Give Revnu your booking link once. When a prospect replies, Revnu stops their follow-ups, tells you, and drafts an answer with your link. The answer waits for your yes. You send it, they pick a time, and the meeting lands on your calendar.

## What you need

- Outreach already running, by email or LinkedIn. If not, start with [book demos with cold email](/docs/uc-cold-email).
- A booking link, such as a Calendly or Cal.com page.
- A connected mailbox, so Revnu can read replies. Check it says **Connected** in **Connections > Reach People**.

## Step by step

### 1. Give Revnu your booking link

> my booking link is cal.com/sam/30min. use it whenever someone wants to talk

You can also put it in the **Calendar Link** box above the steps of a sequence. Revnu doesn't connect to your calendar, so the link is how meetings get booked.

### 2. Read the reply

Replies show up in three places:

- **Inbox** in the dashboard. Switch between **Email** and **LinkedIn** at the top.
- Your own mailbox, if Revnu sends from it.
- Chat, where Revnu tells you about it in one line: who replied and the gist.

That person's remaining follow-ups have already stopped, on email and LinkedIn.

### 3. Check the draft in Review

Revnu drafts an answer and puts it in **Review**. If they want a call, the draft carries your booking link. If they asked a question, Revnu answers from your Memory, including Product Facts.

![The Review page, Things That Need You: an approval card selected, with Dismiss, Snooze, Comment and Approve at the bottom](/docs/screens/review.webp)

- Happy with it? Press **Approve** in **Review**, or reply "send" in chat.
- Want changes? Say so: "shorter, and offer thursday or friday".
- Don't want to answer? Say "skip".

The answer goes from the same mailbox, in the same thread.

### 4. Mark the meeting

When a meeting is booked, open the lead on **Leads** and pick **Meeting Booked** from its status menu. Revnu stops contacting them.

After the call, tell Revnu how it went: "tuesday's call was a no-show" or "they signed". It records exactly what you said.

> **Note:** Replies to prospects always wait for you, even with every other setting on **Just Do It**. The one-tap review links Revnu sends in chat can't approve a send, so approve in the dashboard or reply "send".

**Want the full reply and draft every time?**

Revnu usually tells you in one line who replied and the gist. If you'd rather see the whole thing each time, say it once:

> from now on, when a prospect replies, show me their reply and your full draft in the message

Then check **Settings > Memory** that it saved the rule. If it didn't, add it to your About file yourself. See [Memory](/docs/memory).

**They said "not now"**

> he said not now. follow up in three months

Revnu remembers the date and acts on it when it comes.

**Take a conversation over yourself**

Reply from Gmail or Outlook whenever you like. Then mark the lead **Contacted** on **Leads**, so Revnu stops every email and LinkedIn step to them until you hand it back. You can also type a reply straight into **Inbox** and press **Send Reply**.

## What to expect, and when

- **When a reply lands:** follow-ups to that person stop, and Revnu usually tells you.
- **A draft in Review:** for interested replies and questions. A flat no or an auto-reply gets no draft.
- **"Remove me" or "stop emailing me":** Revnu adds them to your block list, so nobody contacts them again.
- **After you approve:** the answer sends from the same mailbox, in the same thread.
- **Every Monday:** the roll-up counts replies against last week.

## If it doesn't work

| What you see | What to do |
|---|---|
| Someone replied but Inbox doesn't show it | Pick the right mailbox in the account menu at the top of **Inbox**. If the mailbox row in **Connections** says **Needs Reconnect**, reconnect it |
| Revnu mentioned a reply but there's no draft | It may have been a no or an auto-reply. Ask "show me the reply and your draft" |
| Nobody told you about a reply | Ask "any replies since monday? who were they?" To make it stick, add "Tell me about every reply the day it arrives" to your **About** file in **Settings > Memory** (titled with your business name) |
| The draft had the wrong booking link | Tell Revnu the right one. It uses it from then on |
| Approve fails in Claude or ChatGPT | Approve the card in **Review** in the dashboard instead |

## Frequently asked questions

### Does Revnu reply to prospects without asking me?

No. Every reply to a prospect waits for your approval, whatever your other settings say. Revnu drafts it, and you send it, edit it or skip it.

### Does Revnu book meetings on my calendar?

Through your booking link. The prospect picks a time on your Calendly or Cal.com page, and the meeting lands on your calendar like any booking.

### Where do I see replies?

In Inbox in the dashboard, where you can switch between Email and LinkedIn, and in your own mailbox. Revnu also tells you in Slack, iMessage or the dashboard chat, and the lead shows Replied on the Leads page.

### Can I reply from Gmail myself?

Yes. Reply from your mailbox as normal, and Revnu sees the thread. If you're taking the conversation over, mark the lead Contacted on Leads so Revnu stops contacting them.

### Can I get a list of replies every morning?

Yes. Ask "every weekday at 9am, tell me who replied yesterday and what they said". Revnu sets it up as a workflow.
