# Connect Gmail or Outlook to Send Email

> Connect a Gmail, Google Workspace, Outlook or Microsoft 365 mailbox so Revnu can send your outreach and read replies. Which providers work, what to do when Microsoft 365 asks for an admin or IT blocks it, which address to use, and where your sent mail shows up.

Revnu sends email from a mailbox you connect. Until one is connected, Revnu can find leads and write emails, but nothing can send.

Two kinds of mailbox connect:

- **Gmail** and Google Workspace, on the **Gmail** row.
- **Outlook** and Microsoft 365 work mailboxes, on the **Outlook** row.

On IONOS, Hostinger or another mail host? See [your options](#my-business-email-is-on-ionos-or-hostinger-what-do-i-do).

## How do I connect my Gmail or Outlook?

### 1. Open Connections

In the dashboard, open **Connections** and find the **Reach People** group.

![Connections, Reach People group: the Gmail, Outlook and LinkedIn DMs cards, each with a Connect button](/docs/screens/connections-reach.webp)

### 2. Press Connect on the right row

Press **Connect** on the **Gmail** row for Gmail or Google Workspace. Press it on the **Outlook** row for Outlook or Microsoft 365.

### 3. Sign in and allow access

Sign in to the mailbox you want Revnu to send from. Allow access on the consent screen.

If the screen says you need an admin's approval, see [the consent screen says I need an admin's approval](#the-consent-screen-says-i-need-an-admins-approval).

### 4. Check the row

You land back on **Connections**. The row says **Connected**, with the address Revnu sends from.

When Revnu asks you to connect email in chat, its link opens **Connections** with a box to pick **Connect Gmail** or **Connect Outlook**, so you can start straight away.

> **Note:** On the trial that starts without a card, Revnu may stop and ask for a card before you get to Connections. Adding it charges nothing today. See [why Revnu paused and asked for a card](/docs/free-trial).

## What you'll see once it's connected

- Revnu notices the connection by itself. You don't need to tell it.
- A sequence that showed **Needs an Inbox** can now send.
- On Pro, each email leaves within minutes of your approval. See [how many emails Revnu sends a day](/docs/email-sending-limits).

> **Note:** The first time you connect a mailbox, Revnu waits 30 minutes before sending anything it started on its own, so you have time to look things over. Emails you approve in **Review** or ask for in chat go out straight away. Say "pause" any time to stop what's waiting. See [pause or stop everything](/docs/pause-revnu).

## We use Microsoft 365, not Gmail. Does that work?

Yes. Microsoft 365 and Outlook work mailboxes connect through the **Outlook** row. Connect it from the **Outlook** row in **Connections > Reach People**.

**The consent screen says I need an admin's approval**

Many Microsoft 365 companies only let an admin approve new apps.

- **Someone else runs your Microsoft 365.** Send them the request from the consent screen. Once they approve it, press **Connect** on the **Outlook** row again.
- **You run your own Microsoft 365.** You are the admin. Connect while signed in with your admin account, and approve the app for your organisation when the consent screen asks. If it still says you need approval, approve the pending request in the Microsoft Entra admin centre under **Enterprise applications**, then connect again.

The same can happen on Google Workspace. There, the admin allows the app in the Google Admin console.

**Our IT team blocks third-party apps**

Then your work mailbox can't connect. You can still start:

- **Let Revnu buy sending inboxes on lookalike domains.** Nothing touches your company mailbox. They warm up before they send. See [sending inboxes Revnu buys](/docs/sending-inboxes).
- **Start on LinkedIn.** See [connect LinkedIn](/docs/connect-linkedin).

## My business email is on IONOS or Hostinger. What do I do?

Revnu connects Gmail (including Google Workspace) and Outlook (including Microsoft 365). For mail on IONOS, Hostinger or another host, you have three ways to start:

- **Connect a Gmail or Outlook mailbox you do use for work.** It sends the same day.
- **Let Revnu buy sending inboxes on lookalike domains.** Revnu proposes them and pays for them, and they warm up before they send. See [sending inboxes Revnu buys](/docs/sending-inboxes).
- **Start on LinkedIn instead.** See [connect LinkedIn](/docs/connect-linkedin).

## Should I connect my main address, a separate account, or let Revnu buy inboxes?

Each choice protects a different thing:

| Option | Sends | Domain reputation |
|---|---|---|
| Your main work address | The same day | Cold email carries your main domain's reputation |
| A second mailbox you create | The same day | Shares your main domain's reputation if it's on that domain. A separate domain you own keeps it apart |
| Inboxes Revnu buys | After days to weeks of warm-up | Keeps cold email off your real domain |

Revnu keeps volume low on any mailbox: up to 50 emails a day and 20 an hour on a mailbox you connect. Every email goes to a checked address, and anyone on your [block list](/docs/exclude-contacts) is skipped. No option guarantees an email lands in the inbox. The full answer is in [will Revnu's emails land in spam?](/docs/deliverability).

Revnu can't create a new Google Workspace or Microsoft 365 mailbox on your own domain. If you want a separate address on your domain, create it yourself, then connect it here.

## How do I switch to a different sending address?

You don't need to cancel or sign up again. Your sign-in email and your sending mailbox are separate, so you keep your account, your trial and everything Revnu has found.

### 1. Add the new mailbox

Open **Connections > Reach People**. Press **Manage** on the **Gmail** or **Outlook** row, then **Add Another Inbox**. Sign in to the mailbox you want to send from.

If the new address is on the other provider (Outlook instead of Gmail), press **Connect** on that row instead.

### 2. Tell Revnu to use it

Say it in chat, for example "send everything from sam@yourcompany.com from now on". There's no button to pick the main inbox.

### 3. Disconnect the old address

Back in **Manage**, press **Disconnect** next to the old address and confirm. Revnu then sends from the mailbox that's left.

Your sign-in email stays the same, and that's fine: it's only how you log in.

## Which mailbox sends my emails?

The mailbox you connect sends. If you connect more than one, they all show under **Manage** on the row, and one is marked **Main inbox**. Revnu picks which connected mailbox sends unless you tell it. To use a particular one, say so in chat, for example "send this sequence from sam@yourcompany.com".

Each teammate can connect their own mailbox: press **Manage** on the row, then **Add Another Inbox**. Only the person who connected a mailbox can reconnect or disconnect it.

## Where do I see the emails Revnu sent?

In the mailbox itself, in **Sent**. Revnu sends as you, from your address, and replies arrive in that same mailbox. Revnu also shows replies in **Inbox** in the dashboard.

If **Sent** looks empty, check you're looking in the mailbox shown on the **Connections** row. If you own several domains, the address may be on a different one than you expect, such as `.co` instead of `.com`.

## Can I send the emails in my Drafts myself?

Approve them in **Review** instead. It's one press and the email leaves your mailbox within minutes, so it's just as quick. Revnu then clears the draft and keeps track of the lead. If you send a draft from Gmail or Outlook yourself, Revnu can't tell it went, and the person may get it twice.

Drafts only holds first emails and follow-ups. For everything waiting on you, use **Review** and the **Drafted** and **Sending** tabs on **Leads**. See [where is my email?](/docs/email-status) and [how Revnu's emails look](/docs/email-formatting).

## Can I reply to prospects from Gmail myself?

Yes. Reply from your mailbox as you normally would. If you're taking over a conversation, set that lead's status to **Contacted** on the **Leads** page so Revnu stops emailing them. See [replies and booking calls](/docs/replies).

## If it doesn't work

| What you see | What to do |
|---|---|
| The row says **Needs Reconnect** | Press **Reconnect** and sign in again. Until you do, emails due from that mailbox fail instead of sending. Revnu messages you when a mailbox stops working, with how many emails are stuck and the reconnect link. After you reconnect, ask Revnu to send any that failed |
| The consent screen asks for an admin | See [the consent screen says I need an admin's approval](#the-consent-screen-says-i-need-an-admins-approval) |
| "Outlook didn't connect." | The sign-in didn't finish. On a Microsoft 365 work account, your IT admin may need to approve Revnu once (see [the consent screen says I need an admin's approval](#the-consent-screen-says-i-need-an-admins-approval)). Then press **Connect** on the **Outlook** row again, or connect Gmail instead |
| "Gmail didn't connect." | Press **Connect** on the **Gmail** row to try again |
| Revnu says your mailbox can't connect, but it's Outlook or Microsoft 365 | Use the **Outlook** row yourself |
| A teammate's mailbox needs reconnecting | Only that teammate can reconnect it, from their own login |
| Connected, but nothing sends | Work through [why aren't my emails sending?](/docs/emails-not-sending) |
| Something sent that you didn't expect | Say "pause" to Revnu. See [pause or stop everything](/docs/pause-revnu) |

## Next step

[Approve your first sequence](/docs/sequences). It always waits for you the first time.

## Frequently asked questions

### Can I connect Microsoft 365 or Outlook instead of Gmail?

Yes. Use the Outlook row in Connections > Reach People. It covers Outlook and Microsoft 365 work mailboxes. Some companies need an admin to approve the connection once.

### I'm the only admin on our Microsoft 365. How do I approve Revnu?

Connect while signed in with your admin account and approve the app for your organisation on the consent screen. If it still asks for approval, approve the pending request in the Microsoft Entra admin centre under Enterprise applications, then connect again.

### What if my IT team blocks third-party apps?

Let Revnu buy sending inboxes on lookalike domains, which never touch your company mailbox, or start on LinkedIn. Your work mailbox connects once IT allows the app.

### Can I connect my IONOS or Hostinger email?

Revnu connects Gmail (including Google Workspace) and Outlook (including Microsoft 365). With an IONOS or Hostinger address, connect a Gmail or Outlook mailbox you use for work, let Revnu buy sending inboxes on lookalike domains, or start with LinkedIn.

### Is it safe to send from my main email?

Revnu sends at a careful pace: at most 50 emails a day and 20 an hour from a connected mailbox. It checks every address before it sends and pauses the mailbox if bounces climb. If you'd rather keep cold email off your main domain entirely, let Revnu buy lookalike sending inboxes. See [deliverability](/docs/deliverability).

### Do I have to press send on the drafts in my Gmail?

No. Leave them and approve the email in Review. Revnu sends its own copy, removes the draft, and the email then shows in your Sent folder. Sending the draft yourself can email the person twice.

### I connected the wrong email address. Do I have to start over?

No. Add the right mailbox with Add Another Inbox under Manage on the Gmail or Outlook row, tell Revnu to send from it, then press Disconnect next to the old one. Your sign-in email is separate, and you keep your account and trial.

### Why did emails go out right after I connected Gmail?

Emails you approve in **Review** or ask for in chat go out straight away. Only emails Revnu starts on its own wait 30 minutes after your first mailbox connects. Say "pause" to stop anything still waiting, and Revnu lists what already went.

### Can several teammates connect their own inboxes?

Yes. Each teammate can add their own mailbox with Add Another Inbox on the Gmail or Outlook row. Only the person who connected a mailbox can reconnect or disconnect it.
